Client Objectives

Property Management:

a The client needed to manage and track their real estate properties spread all over the country. It was becoming difficult for them to maintain lease and payment details due to the sheer size of the company. The client also wanted automatic ontime alerts when it was time to collect dues.
a The real estate company needed to have an idea of the lease income vs. Investors payout for individual properties.
a The client considered it necessary to have a system to track leased and vacant floor information; rent received v/s investors payment details, etc for better utilization of resources.
Billing management:

a The client wanted to track all the expenditures occurring in every module.
a They also wanted a system in place to manage petty cash.
a It was also essential for the client to have expense reports on buildings as well as overall company.
Asset management:

a The client wanted to track all its assets: location and condition of the assets.
a The client preferred a database with information on tracking of procurement and

Maintenance Management:

a The company required the tracking of maintenance requests, preventive maintenance, Annual Maintenance Contracts expirations and renewals of assets.
a The client also requested the placement of help desk for requests or complaints regarding maintenance from their users.

Solutions by a-mantra

a-mantra offered a solution of providing an integrated system in addition to providing local access to management in individual cities. Since the information regarding all the properties had to be made on-line, a-mantra enabled the system for online viewing from central as well as local points. a-mantra modified its modules as per the requirements of the client.

Implementation Methodology

The re-engineering of the business process was done and the best processes were suggested. The security/access and privilege rights were designed for different levels of users in work flow engine application. A performance benchmarking with the current network infrastructure was put in place.
a Through its Property Management module, a-mantra provided an easy to use database so as to enable access of the information. This module enabled the client to maintain about 600+ property details. This module had location based information.
a A visual representation of space for 200 locations was provided through Space Management module of a-mantra. a-mantra also generated thematic coloring for all the 200 locations identifying different departments.
a For Project Implementation, a new module was set in place for the client called ‘Project Execution Module.’ Through this module, the project managers were able to enter the details of the projects that they were currently working on. This module allowed the user to view the status of all the existing projects and assisted him to add new projects when required. The user was able to track, view projects whenever necessary. The module enabled the facility to make changes in the project details and also allowed the cancellation of the projects. Further this module assisted the user to generate work orders. The user was able to generate reports whenever required using various parameters. The Project Execution module was immensely helpful to the project managers of the client as it provided a complete picture of all their projects at all times.
