Client Objectives

The client required assistance in the management of infrastructure of the company in areas like Property, Space and Project management. The client wanted an overall web enabled Facilities Management System.

Property Management:

a	The client was having difficulty with the management of their various properties as properties were widely spread all over the country.
a	The client needed a database on the availability of space within its premises spread all over India and occupation/vacancy of various locations.
a	The client also requested for the provision of on-line calculation of charge backs for building space, common space and rentable space on a pro-rated basis to user departments.

Space Management:

a	The client was requesting a system to track the allocation of workspace to employees and also to track their movements.
a	The client needed provision for on-line reservations, amendments, confirmations and cancellations of Spaces that were available in their various locations.

Project Management:

a

The client required assistance as regards to the management of their projects. The project managers needed to track all the details beginning with the identification of the branch to finalizing on the project; with all inputs necessary during the process.     The management of the huge world-wide facilities and maintenance of the information on-line was one of the major tasks. Reservation and confirmation of all activities was to be made on-line – hence speed and accuracy was a must to satisfy the customer. Also, correlating the existing information to a new system was an absolute requirement for the client. The precise management of these enormous facilities and maintenance of information for over 30,000 users was a mammoth task

Solutions from a-mantra

a-mantra offered a solution of providing an integrated system in addition to providing local access to management in individual cities. Since the information regarding all the properties had to be made on-line, a-mantra enabled the system for online viewing from central as well as local points. a-mantra modified its modules as per the requirements of the client.

Implementation Methodology

The re-engineering of the business process was done and the best processes were suggested. The security/access and privilege rights were designed for different levels of users in work flow engine application. A performance benchmarking with the current network infrastructure was put in place.

a	Through its Property Management module, a-mantra provided an easy to use database so as to enable access of the information. This module enabled the client to maintain about 600+ property details. This module had location based information.
a	A visual representation of space for 200 locations was provided through Space Management module of a-mantra. a-mantra also generated thematic coloring for all the 200 locations identifying different departments.
a	For Project Implementation, a new module was set in place for the client called ‘Project Execution Module.’ Through this module, the project managers were able to enter the details of the projects that they were currently working on. This module allowed the user to view the status of all the existing projects and assisted him to add new projects when required. The user was able to track, view projects whenever necessary. The module enabled the facility to make changes in the project details and also allowed the cancellation of the projects. Further this module assisted the user to generate work orders. The user was able to generate reports whenever required using various parameters. The Project Execution module was immensely helpful to the project managers of the client as it provided a complete picture of all their projects at all times.

The client achieved all its objectives. The property management was systematic and hence aided in the organization of all the data related to its properties. The visual representation of Space saved a lot of man-hours and time for the company. The managers found the Project Execution module to be a fantastic aid. The client was extremely pleased with the organization of its infrastructure. The a-mantra solution integrated People, Processors, Facilities and Assets for the banking company. The company is pleased that the benefits of implementing a-mantra will last a life-time and it speculates that the costs will be recovered in less than a year’s time! The company wanted to extend the benefits of a-mantra to the management of its assets and hence requested a-mantra’s Asset Management module.
